YOUR IMPACT
The CEO of Proxima Fusion doesn't have a typical schedule which means this isn't a typical EA role. You'll be at the center of a constantly shifting puzzle, which means making real calls on what gets prioritized, knowing when to protect focus time and when to make room for an unexpected opportunity. You are in charge of aligning schedules across time zones, making sure nothing falls through the cracks and keeping a complex web of commitments running. Working as part of the CEO Office alongside the Chief of Staff, you'll directly support the CEO in professional and personal matters (70%) while providing selective support to the broader Leadership Team (30%).
This is a role for someone who finds satisfaction in making complex things run smoothly —and who's energized, not drained, by competing priorities and constant change. As Proxima is constantly growing, we are looking for someone with a drive to grow and stay with us for a long time.
WHAT YOU WILL DO
- Time & Calendar: Own the CEO's schedule, travel, and external commitments—including occasional private matters. Weigh competing priorities and make judgment calls. Anticipate conflicts before they happen.
- Stakeholder Coordination: Be the connective tissue between the CEO, a fast-growing internal team and investors, board members, politicians, media, partners, etc. Strengthen relationships through thoughtful coordination and follow-through.
- Execution Support: Meeting preparation, board minutes, stakeholder documentation, inbox management, expenses. The operational backbone that keeps everything moving. Provide targeted scheduling and travel support to the broader leadership team for high-priority moments.
WHO YOU ARE
- Highly organized with exceptional attention to detail and the ability to anticipate needs before they arise
- A strong communicator with excellent written and verbal skills in English and German
- Experienced in managing complex calendars, travel logistics, and confidential information with discretion
- Comfortable balancing strategic priorities with day-to-day administrative tasks
- Proactive, resourceful, and adaptable, thriving in a fast-paced and dynamic environment.
- Skilled in using productivity tools (e.g., Google Workspace, Slack, project management platforms)
