Job Description
As Senior Administrative Assistant for North America Institutional, you will be a trusted partner to a dynamic team, helping the business operate efficiently and stay focused on client and commercial priorities. You will bring structure to meetings, travel and communications while supporting department initiatives and special projects. This role offers broad exposure, opportunities to influence how the team works and the ability to strengthen day-to-day execution across internal and external stakeholders. You will also have opportunities to guide other administrative professionals and grow your impact through sound judgment, discretion and proactive problem-solving.
This role can be based from either our Boston or New York office.
Responsibilities
Proactively manage team calendars, prioritize competing requests and coordinate schedules across internal and external stakeholders.
Plan and deliver meetings, conferences, events and team offsites, including logistics, materials and travel coordination.
Review and respond to emails on behalf of leaders when appropriate, identify priorities and flag items requiring follow-up.
Coordinate domestic and international travel arrangements and prepare timely, accurate expense reports and invoices.
Create and edit presentations, communications and other materials that support leadership and team priorities.
Support department operations, including recognition programs, timekeeping, budget coordination and supply management.
Provide project and program support by researching questions, coordinating activities and responding to ad hoc requests.
Onboard and mentor administrative team members and provide guidance or leadership to colleagues when needed.
Provide reliable back-up support for other administrative assistants to maintain continuity across the business.
Qualifications
1 to 3 or more years of administrative or support experience, with experience working in a corporate environment preferred.
High school diploma or General Educational Development (GED) credential required; an associate or bachelor’s degree, or equivalent experience, is preferred.
Strong proficiency in Microsoft Word, Excel, PowerPoint and Outlook, with experience using Concur, Ariba or similar business tools.
Demonstrated ability to manage multiple priorities, adapt quickly and remain organized in a fast-paced environment.
Sound judgment and the ability to anticipate needs, solve problems and work effectively with minimal direction.
Clear, professional communication skills and the ability to collaborate effectively with internal and external stakeholders.
High level of discretion, professionalism and care when handling sensitive or confidential information.
Ability to support colleagues and contribute positively to a collaborative administrative team.

In-Office Collaboration

Our employees work in the office at least four (4) days per week, with flexibility to work from home one (1) day per week. Some roles may require additional in-office time or different in-office expectations, and specific requirements will be discussed during the hiring process.
Base Pay Salary
The estimated hourly rate for this role is $30.10 - $41.35 / hour. We have a pay-for-performance compensation philosophy. Your initial total compensation may vary based on job-related knowledge, skills, experience, and geographical work location. In addition, most of our roles are eligible for variable pay in the form of bonus, commissions, and/or long-term incentives depending on the role.
